Next Steps and Important Dates
Please read through the following step-by-step instructions and complete each of the following items, making special note of important dates and deadlines.
- Signed contract and a 33% deposit are due by January 27, 2023. Your delegation’s spot is not officially reserved until we have received your signed contract and deposit. After this point you will be connected with the CWF Planning Team.
- Organize transportation. The CWF program requires that each delegation have bus transportation throughout the conference to travel from site to site. If you are not traveling to DC via bus, please be sure to register for a transportation package for each member of your delegation so we can arrange bus transportation for your group. If you are providing your own bus transportation, please note that Washington, D.C., law requires that all tour buses have a 6-day DC bus permit. Your transportation company may already be aware of this.
- Submit an additional 33% deposit 90 days before your arrival date.
- Each delegation needs to complete the Delegate Information Spreadsheet by Monday, April 24. The template includes all of the required information for each attendee including their name, date of birth, shirt size, roommate (if applicable) and any dietary restrictions or allergies (if applicable).
- Once you have your forms signed and have completed the Delegate Information Spreadsheet, you can submit everything here. We will also be asking you for the following information:
- Your plans for States Night Out
- NEW OPPORTUNITY! Through our partnership with the Smithsonian, we have been given the opportunity to participate in a private tour of select Smithsonian Museums. This opportunity is optional, but we strongly encourage delegations to take advantage of this opportunity developed specifically for Citizenship Washington Focus. We have limited capacity for each week and at each museum so the sooner you complete all of the required information, the more likely we can honor your request for which museum you’d like to visit. - Final payments are due 30 days before your delegation’s arrival day.

- Code of conduct
- Contact information for parents
